This Privacy Policy describes how MapleSafe (operated by Patry, based in Québec, Canada) collects, uses, and protects your personal information when you use the MapleSafe mobile application.

MapleSafe is designed for home inventory documentation to help you prepare for insurance claims. We take your privacy seriously and are committed to handling your data responsibly.

1. Who we are (Data Controller)

2. Information we collect

We collect only what is necessary to provide the MapleSafe service:

Account information

  • Email address (required for sign-in and account recovery)
  • Display name (optional)
  • Authentication data (password hash, or third-party tokens for Sign in with Apple / Google)

Inventory content (created by you)

  • Photos of your belongings and rooms
  • Photos and scans of receipts
  • Item details: name, brand, model, value, category, room
  • Subscription, insurer, and policy reference information (if you choose to provide it)

Usage data

  • Number of AI scans performed per month (used to enforce plan limits)
  • Number of AI evaluations performed per year
  • Subscription tier and credit balance
  • In-app navigation events (for product improvement)

Technical data

  • Device type, operating system, and app version
  • Approximate region (derived from device locale)
  • Crash reports and error logs (anonymized)

3. How we use your information

We process your personal information for the following purposes:

  • Provide the core features of MapleSafe (inventory management, AI detection, receipt scanning, exports)
  • Authenticate you and secure your account
  • Process subscription payments and credit purchases
  • Enforce plan limits (e.g., monthly scan quotas)
  • Improve the application based on usage analytics
  • Communicate with you about service updates or security alerts
  • Comply with our legal obligations

4. Legal basis for processing (GDPR / UK GDPR)

If you are in the European Economic Area, United Kingdom, or Switzerland, our legal basis for processing your personal information depends on the data and the context:

  • Performance of a contract: when processing is necessary to deliver the service you signed up for
  • Legitimate interests: to improve and secure the application
  • Consent: for any optional processing, you may withdraw consent at any time
  • Legal obligation: when required by applicable law

5. AI processing

Some MapleSafe features use third-party AI services to deliver value:

• Object detection — when you take a photo, it is sent to Anthropic's Claude API to identify objects in the image. • Replacement value estimation — item details are sent to Anthropic's Claude API to estimate a replacement cost range. • Receipt OCR — receipt images are sent to Google Cloud Vision to extract text.

These services process the data on our behalf and do not use your content to train their models, in accordance with their respective enterprise terms. Photos and content are not retained by these processors beyond the request lifecycle.

7. Where your data is stored

Your inventory, photos, and account data are stored in Montréal, Canada (Google Cloud northamerica-northeast1). Some processing (AI inference, OCR, payment processing) is performed in the United States by our processors. Where data is transferred outside your jurisdiction, we rely on adequate safeguards (Standard Contractual Clauses, processor terms compliant with GDPR Chapter V).

8. How long we keep your data

We retain your personal information as long as your account is active. If you delete your account, we erase your inventory, photos, receipts, and profile information within 30 days. Anonymized aggregate data may be retained for service analytics. Backups are rotated and purged within 90 days.

9. Your rights

Depending on your jurisdiction, you have the following rights regarding your personal information:

  • Right to access — request a copy of the personal data we hold about you
  • Right to rectification — correct inaccurate or incomplete data
  • Right to erasure (right to be forgotten) — delete your account and all associated data
  • Right to data portability — receive your inventory data in a machine-readable format (we provide ZIP export inside the app)
  • Right to restrict processing — limit how we use your data
  • Right to object to processing — opt out of processing based on legitimate interests
  • Right to withdraw consent — withdraw any previously given consent at any time
  • Right to lodge a complaint with a supervisory authority (e.g., your national data protection regulator)

California residents (CCPA / CPRA)

In addition to the rights above, California residents have the right to know what categories of personal information we collect, the right to delete personal information, the right to opt out of any sale or sharing of personal information (we do not sell or share your personal information for cross-context behavioural advertising), and the right to non-discrimination for exercising these rights.

How to exercise your rights

You can exercise most rights directly inside the app (Profile → Export my data, Profile → Delete account). For any other request, contact privacy@maplesafe.com. We respond within 30 days.

10. Children

MapleSafe is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us at privacy@maplesafe.com and we will take steps to delete it.

11. Security

We implement reasonable technical and organizational measures to protect your data, including encryption in transit (HTTPS/TLS), encrypted storage at rest, scoped Firestore security rules, and least-privilege access controls. No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.

12. Cookies and tracking

MapleSafe is a mobile application and does not use browser cookies. We do not use third-party advertising trackers or behavioural advertising SDKs.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we bump the version number shown at the top of this document and require you to review and accept the updated policy before continuing to use the application. The latest version is always available inside the app from Profile → Privacy Policy.
